Our Offshore Operations team at Rampion Windfarm are looking for an experienced Business Support Coordinator. The role purpose is to ensure the Operations Facility is safe & suitable for 40+ staff to work from, and to support the team in their finance, procurement, training and administrative functions. 

Business Support Coordinator 

Areas of responsibility

Location: Newhaven 


A. Finance & Procurement support

- Working within the SAP finance and procurement system to raise requisitions, GRN (goods receipt notifications) and provide ad-hoc and regular reports and acting as one of the business’ SAP Champions;

- Working directly with the finance team to ensure the Rampion finance position is known and understood;

- Raising requirements with procurement for work up to delegated authority;

- Ensuring goods are receipted and/or accruals in place for work completed;

- Preparing monthly reports to track expenditure on one-off projects delivered by the Operations team on behalf of the Rampion shareholders (Extra-ordinary Services);

- Tracking order placement and invoice payment and identifying errors;

-Ensure timely supply of goods and equipment needed by Operations team;

- Dealing directly with Accounts Payable department to ensure suppliers are paid on time and errors are swiftly corrected;

-Ensure correct cost code allocation and provide monthly reports to budget holders.


B. Facilities Management & Administration

Directly responsible for the management of the office facilities, external areas and warehouse fabric including:

- Upkeep and maintenance of the buildings and equipment,

- Management of all facility management contracts

- Preparation of / review of method statements and risk assessments,

- Manage site safety procedures, including undertaking safety walks and review of Operational Management System. 

- Develop and maintain secure document management systems

- Management / ordering / administration of team work wear, PPE, stationary, office equipment, stores equipment, ensuring standardisation,

- Leading by example and providing clear requirements for housekeeping standards,

- Management of video conferencing equipment and encouraging its use;

- Ensure compliance with GDPR requirements,

- Lead on security as the main point of contact with the RWER security team,

- General administrative support, e.g. arranging meetings, coordinate set up of meeting rooms, supporting team travel arrangements, taking minutes, arranging catering etc.

- Recording work relating to the building in SAP PM,

- Support with events management where applicable,

- Enacting roles: Incident Coordinator, Fire Marshall and First Aider,

- To minimise disruption to building users there is a requirement to sometimes work at weekend to manage building maintenance.


C. Training Coordination

Responsible for all training coordination, planning and records, including:

- Maintaining local competence based personnel files to ensure staff competences are recorded and available for audit or external inspection,

- Working with the HR business partners and the sites Line Managers to ensure the Training Matrix remains up to date and that legal/risk based and development training is identified,

- Plan training in a timely and cost effective manner, allowing for the rota-based and seasonal constraints for release of operations staff.


D. Site Environmental Champion

- Maintaining compliance with environmental procedures including coordinating management review and audit,

- Working with the Warehouse Coordinator to ensure responsible waste disposal and recycling,

- Developing and implementing initiatives to encourage recycling, reduce waste disposal,

- Ensure legal documentation is correct and Duty of Care legal requirements are met by site team and contractors,

- Recording and reporting waste, planning future waste disposal requirements including setting up and directly managing waste contracts.


Your profile

  • Excellent organisational & communication skills
  • Commercial awareness including business planning, budget and cost control
  • Awareness of and experience working with, corporate financial processes and controls, back office functions including purchase requisitioning, orders, good receipt and account payment processes
  • Experience in use of SAP finance and procurement modules
  • Good all-round level of IT proficiency with Microsoft Office applications
  • Good level of Health and Safety experience
  • Facilities/ office management experience
  • Excellent problem-solving skills and resilience
  • Able to self manage within scope of decision making.
  • Legal waste management requirements experience
  • Contract Management knowledge, skills and experience
