Our Human Resources department within RWE Renewables International GmbH in Essen is looking for a 

Personal Assistant to HR Director/ Team Administrator (d/m/f) (2 years maternity leave) 

Areas of responsibility

  • Providing PA/administrative support to the Global HR Director – RWE Renewables International GmbH including Email and calendar management, travel arrangements, and procurement work flows
  • Receive, open and filter internal/external post, emails and telephone calls; screen where appropriate; redirect where necessary, resolve/anticipate any problems
  • Provide support to HR Leadership Team members with regard to calendar and travel management
  • Preparation and organization of meetings, workshops and related events
  • Acting as the key point of contact for internal and external stakeholders, external suppliers, and colleagues across the RWE Group
  • Interface and liaise at all levels, including MD’s, Directors, Manager’s and PA’s from across the European and North American business, external organizations and customers
  • Ad-hoc administration duties to support the team such as taking minutes, producing presentations, spread sheets, reports etc.
  • Handling and budget control of orders/invoices/payments/holiday authorization
  • Complete reimbursement requests, compiling and copying data to submit to accounts payable audit tracking
  • Portal / Connect administration to support information updates and upload documents where needed; maintain key documents on HR SharePoint update documents using Word, Excel, Power Point, and Outlook
  • Provide administration and PA support to key projects and HR core processes (e.g. Management Review, Pay Process etc.)
  • Consultant and expert for topics like Parental Leave/ KiTa, BEM (Betriebliches Eingliederungsmanagement), open claims or Anniversary payments
 

Your profile

  • Outstanding verbal and written communication skills plus good numerical skills
  • Highly developed personal organization skills encompassing a high degree of accuracy and confidentiality and good attention to detail
  • Maintain a good level understanding of HR in order to comprehensively understand and act upon tasks and contribute to the team’s effectiveness as a full member of the HR Team
  • Maintain confidentiality, diplomacy, and tact at all times.
  • Proven experience in a comparable role
  • Excellent use of Word, Excel and PowerPoint and (RWE) SAP finance systems including processing of purchase orders, invoices and accruals
  • Energy, drive and enthusiasm and experience in working under pressure and to tight deadlines
  • Ability to work under own initiative with a proactive approach to work activities
  • Ability to work as part of a team with a desire to work in a diverse international team
  • A good understanding of HR processes and policies, and a professional and flexible approach to work
  • Strong relationship management and networking skills
  • Excellent command of German and English, both written and spoken
